At Rolodexed, operated by Aurelius Applications Inc. (d/b/a Rolodexed) ("we," "us," "our"), your privacy matters. Rolodexed is a headhunter-led talent marketplace built on a simple idea: the right opportunity should find you, not the other way around. To do that well, our headhunters need to get to know you, which means we collect and handle some personal information about you. This Privacy Policy explains what we collect, why, who we share it with, and the choices you have.
By using our website, platform, mobile applications, or any related services (collectively, the "Services"), you acknowledge that you have read and understood this Privacy Policy. If you don't agree with it, please don't use the Services.

1. The Short Version
We collect personal, professional, and assessment information through a structured intake so our
headhunters (real people) can understand who you are and where you'd thrive.
Rolodexed is headhunter-driven, not algorithm-driven. Our headhunters review your profile, decide which opportunities are a fit, and personally surface you to hiring companies. We use software and AI tools to help our team work efficiently, but a human is the one making the call on what gets shared with whom.
We share a curated summary of your profile with hiring companies only when a headhunter believes the fit is genuine. Hiring companies do not see your raw intake responses or psychographic outputs.
We use de-identified, aggregated information to improve the Services and our internal tools.
We never sell your personal information.
You can access, correct, delete, or take a copy of your data at any time.
2. Who We Are
Legal Entity: Aurelius Applications Inc., a corporation organized under the laws of Canada with offices in Toronto, Ontario.
Brand: "Rolodexed" is our operating brand. Any reference to "Rolodexed," "we," "us," or "our" in this Privacy Policy refers to Aurelius Applications Inc.
Data Controller: We are the data controller for personal information collected through the Services, meaning we determine why and how it's processed.
3. What We Collect
3.1 Information You Give Us
Contact information. Name, email, phone number, and general location.
Professional information. Work history, education, skills, certifications, role and compensation preferences, location preferences, résumé or CV, LinkedIn profile, and similar materials you choose to share.
Intake and assessment responses. When you join the Rolodex, you complete a narrative-based intake designed to capture signals a résumé can't—your personality, working style, motivations, communication style, cognitive approach, and other characteristics that help our headhunters understand who you are and what kind of role you'd thrive in.
Uploaded content. Documents, portfolio samples, written responses, and any other materials you upload.
Communications. Messages you send us—by email, through the platform, on calls with our headhunters, or otherwise—including support requests, feedback, and survey responses.
3.2 Information We Collect Automatically
Device and usage data. IP address, device type, operating system, browser, pages viewed, features used, click behavior, session duration, and timestamps.
Cookies and similar technologies. We use cookies to keep you signed in, understand how the Services are used, and improve performance. You can disable cookies in your browser, but some features may not work properly.
Approximate location. Derived from your IP address, used to support regional matching and localized content.
Logs. Server logs, error reports, and diagnostic data used to keep the Services running reliably and securely.
3.3 Information from Other Sources
We may collect information about you from publicly available professional sources (such as LinkedIn or other professional networking sites) and from partners who refer candidates to us, where permitted by applicable law. We use this information to help our headhunters identify potential candidates and make relevant introductions.
4. How We Use Your Information
4.1 Building Your Profile
We use the information you give us to build a profile our headhunters can work with — a richer, more honest picture of you than any résumé alone. Our headhunters review this profile, get to know you over time, and use it to figure out which opportunities are worth surfacing you for.
4.2 Headhunter-Led Matching
Our headhunters—not algorithms—make the call on whether a role is a fit and whether to introduce you to a hiring company. We use internal software, AI tools, and analytics to help our team organize information, draft summaries, search the Rolodex efficiently, and avoid missing relevant opportunities. These are tools that support our team's work; the decisions remain with our people.
4.3 Improving the Services
We use de-identified, aggregated, and anonymized information to evaluate and improve the Services and our internal tools — for example, to refine the questions we ask in the intake, to test new ways of organizing profiles, or to improve search and summarization tools used by our headhunters. We do not sell or license your personal information to third parties to train their AI models.
4.4 Communications
We use your contact information to reach out about potential opportunities, coordinate interviews, send service updates, request feedback, and (where you haven't opted out) send relevant marketing communications. You can opt out of marketing communications at any time by clicking "unsubscribe" in any email or by emailing us at privacy@rolodexed.ai.
4.5 Market Research
We may produce labor-market insights, trend reports, and similar research using anonymized and aggregated information. Nothing in those reports identifies you personally.
4.6 Security and Integrity
We use personal information to detect and prevent fraud, abuse, unauthorized access, and other harmful activity, and to enforce our Terms of Service.
4.7 Legal
We use personal information as needed to comply with applicable laws, regulations, legal processes, and government requests.
5. How We Share Your Information
5.1 Hiring Companies
When one of our headhunters identifies a genuine fit between you and an open role, we share a curated profile with the hiring company. That typically includes your résumé, basic contact information needed to coordinate interviews, and a headhunter-prepared summary of your qualifications, strengths, and fit for the role.
What we do not share with hiring companies: your raw intake responses, raw psychographic or personality outputs, internal scoring, or anything you've asked us to keep private. You control your visibility at all times — you can pause or deactivate your profile through your account settings or by emailing us.
5.2 Service Providers
We use third-party service providers to help us run the Services — for example, hosting, cloud infrastructure, communications platforms, analytics, scheduling, and AI tooling. These providers are contractually required to use your information only for the purposes we specify and to keep it secure.
5.3 Professional Advisors
We may share information with our lawyers, accountants, auditors, and insurers, only to the extent reasonably necessary.
5.4 Authorities
We may disclose information where required by law, regulation, legal process, or government request, or where we believe in good faith that doing so is necessary to protect our rights, property, or safety, or those of our users or the public.
5.5 Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred to the successor entity, subject to protections at least as strong as those in this Privacy Policy.
5.6 We Don't Sell Your Information
We don't sell your personal information. Period.
6. How AI Is Used at Rolodexed
We want to be straightforward about this because it matters. Rolodexed is headhunter-driven, not AI-driven. A real person at Rolodexed reviews your profile, decides whether you're a fit for a given role, and decides whether and how to introduce you to a hiring company.
We do use AI and machine-learning tools to help our headhunters work effectively — for example, to draft profile summaries, organize information, search the Rolodex, transcribe and summarize calls, and surface internal suggestions to our team. These tools are reviewed by humans before anything is shared externally. We do not use AI to make automated decisions about whether you receive an interview, an offer, or any other outcome.
If you'd like to understand how a particular profile was put together, or to ask for a human to review anything we've drafted about you, email humans@rolodexed.ai.
7. How Long We Keep Your Information
We keep your personal information for as long as your account is active, plus a reasonable period afterward to:
continue offering you matches if you'd like to remain in the Rolodex;
comply with legal, tax, regulatory, and audit obligations;
resolve disputes and enforce our agreements; and
support backups, disaster recovery, and fraud prevention.
If you ask us to delete your account, we'll delete or anonymize your personal information within 30 days, except where we're legally required to retain certain records. Where complete deletion isn't technically feasible, we'll isolate the data and stop using it.

8. Security
We use industry-standard technical and organizational measures to protect your information against unauthorized access, loss, misuse, alteration, and destruction — including encryption in transit and at rest, access controls, regular security review, and team training.
No system is perfectly secure. If you believe your account or information has been compromised, email us right away at privacy@rolodexed.ai.
9. Your Rights
Depending on where you live, you may have some or all of the following rights with respect to your personal information:
Access—get a copy of the personal information we hold about you.
Correct—ask us to fix anything inaccurate or incomplete.
Delete—ask us to delete your information.
Restrict—ask us to pause certain types of processing.
Port—get a copy of your data in a structured, commonly used, machine-readable format.
Object—object to certain types of processing.
Withdraw consent—where we rely on consent, you can withdraw it at any time.
To exercise any of these, email julian@rolodexed.ai. We'll respond within 30 days, or sooner where required by law. We may need to verify your identity first.
10. Children
The Services are intended for adults aged 18 and older. We don't knowingly collect personal information from anyone under 18. If we learn we have, we'll delete it promptly and close the account.
11. International Users
If you access the Services from outside Canada, your information may be transferred to, stored in, and processed in Canada or in other countries where our service providers operate. When we transfer data internationally, we put appropriate safeguards in place — such as standard contractual clauses or equivalent mechanisms—so your information continues to be protected.
12. U.S. State Privacy Rights
If you live in a U.S. state with comprehensive privacy legislation (such as California, Colorado, Virginia, Connecticut, or similar), you may have additional rights, including the right to know what we've collected, the right to delete or correct it, the right to opt out of any "sale" or "sharing" of personal information (we don't do either), and the right not to be discriminated against for exercising these rights.
To exercise these rights, email julian@rolodexed.ai. You can designate an authorized agent to make a request on your behalf. Where applicable, you can appeal a decision by emailing the same address with the subject line "Privacy Appeal."
13. Cookies
We use cookies and similar technologies to keep you signed in, understand how the Services are used, and improve performance. We may also use analytics tools (such as Google Analytics) that automatically collect device identifiers, IP addresses, and browsing activity.
You can manage your cookie preferences through your browser settings. Where required by law, we honor opt-out signals such as the Global Privacy Control.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we'll notify you by email or through a prominent notice on the platform before the changes take effect. Please check back periodically. Continued use of the Services after a change means you accept the updated Policy.
